Student Complaint Tracking and Reporting
Tracking Student Complaints:
Units are required to submit an annual report for the purpose of identifying opportunities for institutional improvement. Within the report, units are required to submit all records regardless of status.
The Office of Audit, Risk and Compliance (OARC) requests the unit's annual report of student records following completion of Spring Semester and conducts review and analysis of the records. OARC provides an aggregated anonymous report to the Student Grievance Review Committee (SGRC). SGRC reviews the aggregated report and makes recommendations for institutional improvements, as necessary.
The following identifies the members of the SGRC.
Student Grievance Review Committee Structure:
- Vice Provost for Student Affairs or designee (KUL)
- Senior Vice Provost for Academic Affairs (KUL)
- Vice Chancellor for Academic and Student Affairs (KUMC)
- Associate Vice Chancellor of Student Affairs (KUMC)
Student Complaint Data Collection Process:
The Annual Report on Student Complaint Tracking is to be provided to the Office of Audit, Risk & Compliance by all units. The goal is to collect campus-wide information on the number and frequency of complaints, average time for review, referral and resolution, and recommendations for improvement.
Annual Report: must include at minimum the following for each formal grievance which has been submitted:
- Student Name
- Respondent Name (i.e., the party charged in the complaint)
- Date of submission
- Summary of allegation
- Summary of outcome/resolution, if applicable
- Date of resolution or summary of current status
